Guide to Setting Up Telegram Chat Folders: Organizing Channels, Groups, and Unread Messages

With so many Telegram channels and groups, the main chat list mixes work, news, friends and family, and bot reminders. The purpose of the chat folder is not to save messages, nor to create a directory in the channel, but to add different views to the chat list: when working, only look at the work source, when reading the news, only look at the channel, and content that does not need to be processed immediately does not occupy your attention.

There are often not many folders that are really useful. Building two to four views around usage scenarios first, and then using inclusion, exclusion, and pinning to control noise is easier to maintain than building a dozen columns for each interest.

Chat folders, archives and Saved Messages are not the same thing

A channel can appear in both a folder and an archive, with visibility determined by folder rules. Adding a channel to the “News” folder will not copy the channel messages; deleting the folder does not mean exiting the chat in it.

Where to create chat folder

Look for “Chat Folders” or “Folders” in Telegram settings. The location of the desktop and mobile terminals will change with the version. Common paths are under Settings. After creating, fill in the name, and then choose which chats to include and which ones to exclude.

Telegram officials initially provided rules for inclusion or exclusion by type, such as contacts, non-contacts, groups, channels, bots, and statuses such as muted, read, or archived. You can also add specific chats manually. The current client may display templates, such as “Unread” or “Personal”, but the essence is still a combination of rules.

After creation is completed, the folder label will appear on the main interface. Observe for a few days before continuing to add rules: if an important chat does not appear, the exclusion conditions are usually too broad; if a folder is almost the same as “all”, the classification does not reduce the decision-making cost.

Three sets of practical configurations

Configuration 1: Channel Reading

Include “channel” and be careful about excluding muted or read. If you use mute to avoid prompts, but still want to focus on reading every day, excluding muted will hide the sources you really need to read. A more stable approach is to include the channel and manually exclude ad sources or low-priority channels.

You can add a small number of primary sources in the folder, such as company announcements, regulatory agencies, and project official channels. Telegram officially states that each folder can have its own pinned chat, so the priorities of the “All” view and the “News” view can be different.

Configuration 2: Reply required

Focus on personal chats, groups and unread status, excluding muted channels and robots. This folder answers “Who’s waiting for me”, not “What’s all new today”. If a workgroup is muted but still needs to be processed, manually add it to the inclusion list and test the precedence of explicit inclusion and exclusion rules in the current client.

Configuration 3: Project temporary view

Add channels, groups, robots and contacts related to a project one by one. Just delete the folder after the project is completed without exiting the chat. This makes it easier to restore the original layout than changing the archive and mute status of each chat.

Folder names should point to actions as much as possible, such as “Today’s Reading”, “Reply Required” and “Project X”. The name “Other 2” “Profile” is difficult to understand after a few weeks.

How to understand inclusion and exclusion rules

Automated rules change based on chat status. For example, after a chat is read, it may disappear from the “Unread” folder; a newly joined channel may automatically enter “Channel Reading”. Manual selection is more stable, but requires maintenance by yourself.

After setting up, use four test objects for acceptance: a read channel, an unread and muted channel, a work group, and a robot. Observe which tags they appear in. Don’t just look at the rule text and guess the effect, because the platform, version, and existing manual exceptions will affect the final list.

Folders are views, not permission systems. Excluding chats from a folder will not block notifications, searches, or access on other devices; you still need to set up notifications to reduce interruptions, and you still need account and device security to protect privacy.

Check the joining scope before sharing the folder

Telegram supports sharing chat folders via links. Once the recipient opens it, they can choose to join the shareable chat. According to the official statement, the sharing links that can be added are usually public chats and chats for which you have the corresponding invitation permission; not all private conversations in the folder will be made public.

You should still view the preview item by item before sharing:

• Are there any internal groups that should not be recommended to outsiders?
• Whether you have the right to invite others;
• Which chat names will be seen by the recipient of the link;
• When a chat is added to the folder later, will the shared link be updated simultaneously and what confirmation is required.

Different invitation links can be generated for different audiences. For example, new employees are given public information and an entry group, and project members are given another authorized chat group. Do not post a long-lived link to a public page where you cannot control the spread.

Cross-device synchronization with Secret Chats

The chat folder is a cloud setting and will be synchronized between official clients that support this feature. Telegram’s official information also points out that Secret Chats are device-limited content and do not belong to the ordinary chat history synchronized in the cloud, so you cannot expect it to appear in all device folders like cloud chats.

If the mobile phone and desktop folders are different, first confirm the same account, client version and synchronization status, and do not rebuild immediately. Users with multiple accounts must be set up separately, and the chats and folders of each account will not be automatically merged.

How to subtract when there are too many folders

It’s time to merge if the following signs appear: you still click “all” first every time; the same chat appears in five or six folders; you often forget the meaning of a certain label; a certain folder has not been opened for a week. Keep high-frequency situations and delete the view when the temporary project is over.

A lightweight set of structures is usually “Reply Needed/Channel Read/Current Project”. The archive is responsible for moving temporarily unused chats out of the main view, the mute is responsible for controlling reminders, and the Saved Messages are responsible for saving specific messages. Each tool does one thing and the chat list will be a lot quieter.

FAQ

Will deleting the folder exit the channel or delete the chat?

Won’t. What is deleted is the custom view, not the chat within it. You must still read the client confirmation box clearly when performing operations to avoid accidentally clicking on the delete or exit of a single chat.

Why do new channels automatically appear in the folder?

If the folder contains the automatic type “Channel”, the newly added channel will comply with the rules. If you just want to keep a fixed list, remove the automatic inclusion criteria and select manually instead.

Can multiple channels be searched for full text in a folder?

The folder mainly organizes the chat list, which does not mean creating a complete full-text index of all channels in it. Global search can provide cross-chat candidate results, specific channels should still be entered within the channel to continue searching.
